ChatGPT now turns a recording into notes, actions and a follow-up email

What it is: two new ChatGPT features. Since 6 October you can upload an audio file on any paid plan. Since 29 September a Meetings plugin, in beta, takes notes live in the ChatGPT Mac app on Pro and Business plans.

What it does: upload a recording and ChatGPT writes the transcript, summarises it and answers questions about it. The Mac plugin writes notes as you talk, pulls out the action items and saves them where your team can see them. It deletes the audio once the notes are ready.

How you could use it: an agri group with four sites records the Monday managers' call, uploads it, and asks for each site's actions and a follow-up email to every manager. A sales rep records a voice memo after a customer visit and turns it into a CRM note on the drive home. One guardrail: tell people you are recording, and keep client health details out. Included in paid ChatGPT plans, no extra fee. OpenAI says availability varies by region, so check your account.

Owner takeaway: agri and regional multi-site operators should record this week's managers' call, upload it to ChatGPT and ask for the actions by site, then check them against their own notes.

ChatGPT's new agents keep working after you close the chat

What it is: "dots", always-on agents in ChatGPT, launched 29 September and rolling out gradually. Each dot gets its own cloud computer and keeps going between chats.

What it does: you give a dot a goal and connect your apps (more than 4,000 through plugins), and it works in the background. It reports progress, asks when it is stuck, and you can open its computer and watch. It also works inside Slack and Teams. In one early test, a dot prepared an invoice and waited for approval before sending it.

How you could use it: a wholesaler could give a dot the job of chasing supplier delivery dates every morning and flagging any order that will land late. An office manager could have one draft overdue-account reminders that sit waiting for sign-off. One dot is included on the top-tier Pro and Business Premium plans. OpenAI excludes Europe and the UK from Pro at launch, and has not confirmed Australia either way.

Owner takeaway: distribution and wholesale owners already on a top ChatGPT plan should give one dot one boring daily job this week, such as supplier ETAs, and keep every send on approval.

What I would do first

  1. Record one internal meeting this week and see if the AI notes match yours.
  2. Write down the one daily chase job nobody wants. That is your first agent.
  3. Whatever the tool, keep a person on approve before anything gets sent.
