Microsoft Copilot can now sort a messy OneDrive folder and build a report from your spreadsheets
What it is: a batch of new Copilot features in OneDrive and SharePoint, announced by Microsoft on 20 October. General availability of Copilot in OneDrive and SharePoint began rolling out from 30 September. You need a Microsoft 365 Copilot licence, and features are reaching businesses in stages.
What it does: select several spreadsheets and ask Copilot to compare them, with charts and the trends pulled out. Point it at a crowded folder and it sorts the contents into a structure that makes sense. Turn existing files into an interactive HTML report that you refine with follow-up prompts and edit with your team. Save a process you repeat as a personal skill, a small Markdown file, so Copilot runs it the same way every time.
How you could use it: a wholesaler selects twelve months of supplier price sheets, asks which lines rose the most, then saves that as a skill so next month is one prompt. An aged care office sorts a cluttered policy folder before an accreditation visit, then checks where every file landed. SharePoint image generation and site analytics use extra Copilot Credits.
Owner takeaway: distribution and wholesale owners with Copilot licences should pick one monthly spreadsheet report this week, ask Copilot to build it from the source files, and save it as a skill once the numbers check out.

Google Gemini can now answer questions about your own Xero numbers
What it is: Xero's connected app for Google Gemini, announced on 14 October and live in the Gemini app from 16 October. Xero says it is the first financial management platform to launch a connected app for Gemini. Google says it is rolling out globally over the coming days.
What it does: you ask plain questions and Gemini answers from your live Xero data: profit and loss, cash position, balance sheet, who is overdue, your biggest customers, bills to pay. It can draw net profit and aged receivables charts right in the chat. Anything that would change financial data, like issuing an invoice or sending a payment reminder, waits for your confirmation. Xero says your data is not used to train Gemini.
How you could use it: a distribution owner asks "who owes me money over 60 days, and how much?" before ringing debtors. An allied health practice manager gets a one-paragraph cash summary before the monthly partners' meeting. Answers are only as good as your coding, so keep reconciliation current. It works on web, mobile and Windows. Check that Xero shows under connected apps in your Gemini account.
Owner takeaway: distribution and wholesale owners on Xero should connect it to Gemini this week and ask three questions they already know the answers to before trusting it with new ones.

Google Meet now translates a video call live in 63 languages
What it is: Gemini-powered speech translation in Google Meet, expanded on 22 October to 63 languages with automatic language detection. It works on web, Android and iOS for Business Standard and Plus, Enterprise Standard and Plus, Frontline Plus, and Google AI Pro and Ultra.
What it does: Meet works out which language each person is speaking and translates it into the language you picked, as they talk, in a voice like the speaker's. Each person turns it on for themselves during the call. It runs a few seconds behind, and Google says live translation makes more errors than translating a recording.
How you could use it: an allied health clinic holds a care planning call with a client's daughter who is more comfortable in Vietnamese. The clinician speaks English and each hears their own language. An agri business talks through an order with an overseas buyer without booking an interpreter. Keep a professional interpreter for consent or anything where a mistranslation matters. Rollout began 22 October for rapid release domains and starts 2 November for scheduled release, so it may take a few weeks to appear.
Owner takeaway: aged care and allied health operators on Google Workspace Business Standard or above should test it this week on a low-stakes call with a bilingual staff member listening in, before using it with families.

What I would do first
- On Copilot? Give it the one spreadsheet report you rebuild by hand every month.
- On Xero? Ask Gemini three questions you already know the answers to.
- Translating a call? Have someone bilingual listen in the first time, before it matters.
